Privacy Policy

This Privacy Policy explains what data the Crafters Development Bot collects through its moderation and entertainment features, how that data is used, how long it is kept, and what rights you have over it.

§ 01

Introduction

This Privacy Policy describes how Crafters Development collects, uses, and protects personal data in connection with the Crafters Development Bot — the official multifunctional bot of the Crafters Development Discord server, which provides both moderation tools and entertainment commands.

We are committed to being fully transparent about our data practices. The most important thing to understand is this: the Bot only stores data when a moderation action (ban, mute, kick, or warning) is applied to a user. Using game or entertainment commands does not result in any personal data being stored.

Plain-language summary: If you get banned, muted, kicked, or warned, we store your username, user ID, the type of sanction, the reason, the date, and who issued it. This is your sanction record. If you only use game commands, nothing is stored about you.

Who We Are

Crafters Development is an independent software development brand creating Minecraft plugins and Discord bots. For the purposes of this Policy, Crafters Development acts as the data controller — the entity responsible for determining how and why your personal data is processed.

§ 03

Data We Collect

The Bot collects personal data only when a moderation action is applied. The following table details every data point that may be stored:

Not collected: Email addresses, passwords, IP addresses, message content (beyond the reason field), device information, location data, or any data from users who have not been subject to a moderation action.

The Sanction Registry

All moderation data collected by the Bot is stored in a persistent sanction registry — a structured database that maintains a complete, chronological record of every moderation action applied to users within the Crafters Development Discord server.

This registry is the core of the Bot's moderation functionality. It exists for the following reasons:

  • Moderation history: Allows staff to review a user's full history of sanctions before deciding on a new action, ensuring proportionate and informed moderation
  • Accountability: Creates an auditable record linking each sanction to the specific staff member who issued it, deterring arbitrary or abusive moderation
  • Consistency: Ensures that all users are subject to the same documented standards of enforcement, reducing the risk of discriminatory or inconsistent treatment
  • Appeals support: Provides the factual record necessary to fairly evaluate user appeals against moderation decisions

Entries in the sanction registry are created automatically when a moderation command is executed and cannot be altered retroactively without the explicit authorization of xUnknowns.

The integrity of the sanction registry is important. Unauthorized modification or deletion of registry entries is prohibited and constitutes a violation of these Terms.

How We Use Your Data

Data collected through moderation actions is used exclusively for the following clearly defined purposes:

  1. Maintaining the sanction registry: Storing and organizing the complete record of moderation actions for operational and accountability purposes
  2. Informing future moderation decisions: Allowing staff to review a user's disciplinary history when assessing the appropriate response to a new rule violation
  3. Staff accountability: Tracking which staff member issued each sanction to maintain transparency and allow review of moderation conduct
  4. Appeals processing: Providing the factual basis necessary to evaluate user appeals against moderation decisions fairly and accurately
  5. Abuse prevention: Identifying users who repeatedly violate server rules or attempt to circumvent existing bans

We do not use moderation data for any commercial, marketing, or analytics purposes. Your sanction history is not used to build profiles about you beyond what is necessary for the moderation purposes described above.

§ 06

Legal Basis for Processing

The collection and processing of your data through the Bot's moderation features is conducted under the following legal bases:

  • Legitimate interests: Processing moderation data is necessary to pursue our legitimate interests in maintaining a safe, well-governed, and abuse-free community environment, provided those interests are not overridden by your fundamental rights
  • Contractual necessity: Where you have accepted the Terms of Service to access the server and its Bot, processing is necessary to fulfill our obligations and enforce the community standards you agreed to
  • Compliance with rules: Maintaining an accurate record of sanctions is necessary to consistently enforce the Crafters Development server rules that all members agree to upon joining
§ 07

Data Storage

All data collected by the Crafters Development Bot is stored in a local database on the private server infrastructure that hosts the Bot. This is a self-hosted environment — no third-party cloud database services are used.

  • Storage type: Local database on a privately managed server
  • Access control: Access is restricted exclusively to xUnknowns and senior Crafters Development staff on a strict need-to-know basis
  • No external transmission: Sanction data is not transmitted to or stored in any external cloud platforms, third-party services, or partner systems
  • Backups: Routine backups may be maintained to prevent data loss. These backups are subject to the same access restrictions as the primary database
§ 08

Data Retention

Moderation data in the sanction registry is retained for as long as is reasonably necessary for the purposes described in this Policy. Our retention approach by sanction type:

  • Warnings: Retained for the duration of the user's membership in the server, plus a reasonable review period. Older warnings may be archived after an extended period if no further violations occur
  • Kicks: Retained for reference purposes. Users who are kicked may return to the server, and kick history informs future moderation decisions if rule violations recur
  • Mutes: Retained for the duration of and following the mute period, and kept in the registry for future reference
  • Bans: Retained indefinitely in active storage for permanent bans, as the registry entry is necessary to maintain the enforcement of the ban. Temporary ban records may be archived after the ban period expires
Deletion requests: You may request deletion or correction of your sanction record by opening a support ticket. Requests will be reviewed by xUnknowns. Note that records associated with active permanent bans may not be eligible for deletion, as they are necessary to maintain the enforcement of the sanction.
§ 09

Data Sharing & Disclosure

We maintain a strict policy against sharing your moderation data with external parties:

  • No third-party sharing: Your sanction records are never sold, rented, or shared with any external businesses, platforms, or individuals outside the Crafters Development staff team
  • Internal access only: Sanction registry data is accessible only to authorized Crafters Development staff members who need it to perform their moderation duties
  • No public disclosure: Individual sanction records are not publicly visible to other server members. They are accessible only through internal staff tools

The only exception is a legally compelled disclosure — if required by a valid court order or applicable law, we may disclose the minimum necessary data. We will notify you of any such disclosure to the extent permitted by law.

§ 10

Data Security

We implement reasonable technical and organizational measures to protect sanction registry data from unauthorized access, modification, or destruction:

  • Access restriction: Database access is protected by authentication and limited to authorized personnel
  • Server hardening: The hosting server is configured to minimize exposure to external threats
  • Audit trail: Each registry entry includes the moderator's ID, creating an inherent audit trail that deters unauthorized modification
  • Minimal data scope: We only collect what is strictly necessary, reducing the potential impact of any data exposure
No system is completely immune to security risks. In the event of a breach affecting your data, we will take reasonable steps to contain the incident and notify affected users where appropriate.
§ 11

Your Rights

You have the following rights with respect to your personal data stored in the sanction registry. To exercise any of these rights, open a support ticket via the Ticket Bot or contact xUnknowns directly.

You may request a summary of the sanction records we hold about you, including the type, reason, and date of each entry.

If a sanction record contains a factual error (e.g. wrong username, incorrect reason), you may request a correction.

You may request deletion of records. Active permanent ban records may be exempt if deletion would undermine enforcement of the sanction.

You may object to the retention of specific records where you believe our legitimate interest does not justify ongoing processing.

You may leave the server at any time. Existing sanction records may be retained per our retention policy even after departure.

All rights requests are reviewed individually by xUnknowns. We will acknowledge your request promptly and aim to resolve it within a reasonable timeframe.
§ 12

Children's Privacy

The Crafters Development Bot is not intended for users under the age of 13, consistent with Discord's minimum age requirement. We do not knowingly collect or retain data from users under 13. If we discover that a user under 13 has been subject to a moderation action and their data stored, we will delete that data promptly upon becoming aware.

If you believe a child under 13 has had data collected through the Bot, please contact us immediately.

§ 13

Third-Party Services

The Bot operates on Discord's infrastructure. Moderation actions such as bans, mutes, and kicks are executed through Discord's API, meaning Discord itself is aware of and processes these actions under its own Privacy Policy. Messages sent in Discord channels related to these actions are also subject to Discord's data practices.

Beyond Discord, the Bot does not connect to, transmit data to, or integrate with any other third-party platform or service. All custom data we store is held exclusively in our local infrastructure.

§ 14

Cookies & Tracking

The Crafters Development Bot is a Discord bot — not a web application. It does not use cookies, web trackers, analytics scripts, fingerprinting, or any browser-based tracking technology. No data is collected passively; all data collection is explicitly triggered by moderation actions as described in Section 03.

§ 15

Changes to This Policy

This Privacy Policy may be updated at any time. The "Last Updated" date will reflect the most recent revision. Significant changes may be announced in the Crafters Development Discord server. Continued use of the Bot after changes are published constitutes acceptance of the updated Policy.
